When someone shares a Collection with you or your organization, the apps inside become available to use. This page covers what happens on the recipient side.
Who can receive a CollectionAnyone the Collection is shared with, directly, through a group, or through their organization, can use the apps. Space Owners and Managers can also add the Collection to their spaces. Org Owners are Space Owners of every space in their org.

Where shared Collections show up

Shared Collections appear under Collections in the Discover section of the sidebar: All org collections tab. Collections you have access to that belong to your org or were shared with your org or a group in it, with the owning org labeled on each card. A new Collection stays private to its creator and your org’s Owners until someone shares it. Shared with me tab. Collections you have access to that don’t appear on any of your organizations’ All org collections tabs, such as one from another organization shared with you directly.

How to use a shared Collection

Open the Collection

From the All org collections or Shared with me tab, click the Collection’s name to see what’s inside.

Browse the apps

Each app card has a Launch button, so you can use any app directly from this view.

Add the Collection to a space

To make the apps available inside a class or team space, open the space, click Add apps, and choose Add existing apps or collections. On the Collections tab, click Add Collection next to it. Members of that space can then use the apps.

Use the apps

Apps in a shared Collection work the same as any other app. Your org sees its own people’s activity in detail. An app’s builder sees only session counts, without the names of people outside their organizations.

What recipients can and cannot do

Recipients with User access (the default for shared Collections):
  • Use the apps in the Collection
  • Add the Collection to spaces where they’re a Space Owner or Manager
  • See new versions as each app’s owner publishes them
  • View their org’s own activity on each app
Recipients cannot:
  • Add or remove apps from the Collection
  • Edit the apps inside (each app’s owner controls them)
  • Share the Collection with anyone else
  • See activity from other recipient orgs
If a recipient who can build apps wants to make significant changes to an app, they can remix it. The remix is a separate copy, no longer connected to the Collection.

When updates arrive

When an app’s owner publishes a new version, every recipient using that app sees the new version on their next session. There is no manual sync. The same is true when someone with Editor or Owner access adds or removes apps from the Collection.
If you depend on a specific version of an app, remix it. The remix is yours and won’t change when the original is updated.

How recipient activity is tracked

Each recipient org has its own activity log for the apps in a Collection. Your teachers and admins see only your org’s activity. The builder of each app can see session counts for their app across organizations in Insights, in the organization where they built it, but to protect your users’ privacy, people outside the builder’s organizations appear without names, and there’s no breakdown by organization. Removing a shared Collection

From a space. Anyone who can manage a space’s apps can take a Collection out of it:
  1. Open the space
  2. Open the Collection card’s ⋮ menu and choose Remove from space
  3. Confirm
The Collection’s apps leave the space. Apps that were added to the space separately stay. From your organization. A recipient can’t remove a Collection from their org on their own. Ask the Collection’s owner to remove your organization in the Collection’s Share dialog.

FAQ

Yes. Everyone the Collection is shared with can use its apps at the same time, and each person’s sessions are their own. Teachers who manage spaces can each add it to their own spaces.
No. Removing an app from a Collection doesn’t delete the app or its sessions. If you could reach the app only through that Collection, you can’t start new sessions on it.
Not directly. A Collection gives you User access to its apps, so you can use them but not edit them. If you can build apps, remix it instead. The remix is your own copy and won’t change when the original is updated.
Your access through it ends, and it disappears from any spaces it was added to. Apps that were added to those spaces separately stay. Deleting a Collection doesn’t delete its apps or your past sessions.
No. Any member of your org with access can use the apps. Adding the Collection to a space requires space owner or manager rights.
Every Collection card shows its creator and their organization, and the Collection’s page says Curated by the creator in their organization.
Only with Editor or Owner access, which lets you open the Share dialog and see everyone who has the Collection. With User access, you can’t see who else received it.
