# Workflow cheat sheet

> Side-by-side reference for every common workflow that changed in the latest Playlab update.

<Note>
  This guide is for people coming from the previous version of Playlab. It will be retired in August 2026 once everyone has migrated. For current Playlab guidance, see [Learn on Your Own](/getstarted/Overview) or [Feature Documentation](/features/Overview).
</Note>

This page is a printable one-pager. If you remember an old flow and want to know how to do it now, find it here.

<Tip>
  For the conceptual model behind these changes, read [Navigating Playlab](/getstarted/Navigating%20Playlab) first.
</Tip>

## How to use this guide

Each comparison below shows the previous flow on the left and the current flow on the right. Where the verb stayed the same, you will see only minor differences. Where the verb changed, the current column links to a full guide. Start with what's new, then scan the side-by-sides.

## What's new (no prior equivalent)

These workflows did not exist before.

## Creating an app

| Before            | Now                        |
| ----------------- | -------------------------- |
| Go to org | Go to org **or** workspace |
| Go to workspace | Click **New App** |
| Click **New App** | Build the app |
| Build the app     |                            |

You can now start a new app from either the org level or inside a workspace. The build flow itself is unchanged. See [Creating an app](/getstarted/Creating%20a%20Playlab%20App).

## Collaborating on an app

| Before                                                           | Now                        |
| ---------------------------------------------------------------- | -------------------------- |
| Go to the workspace where the app lives | Go to the app |
| Invite the peer to the workspace as **Creator** | Click **Share** |
| Peer can now edit your app and every other app in that workspace | Add the peer as **Editor** |

Editor access is now per-app. A peer you add as an Editor can edit only that app. They do not get access to the rest of your workspace. See [Collaborating on an app (Editor model)](/getstarted/Collaborating%20on%20an%20App).

## Publishing an app

| Before                  | Now                                                                                 |
| ----------------------- | ----------------------------------------------------------------------------------- |
| Go to app builder | Go to app builder **or** click **Share** on any app |
| Click **Publish**       | Click **Publish**                                                                   |
| Pick a visibility level | Pick a visibility level **or** share directly with a person, group, or organization |

You can now publish from the **Share** modal, and you can share an app with specific people without making it public. See [Publishing your app](/features/Publishing).

## Inviting users

### From the organization view

| Before                          | Now                   |
| ------------------------------- | --------------------- |
| Go to **Members** tab | Go to **Members** tab |
| Click **New Member** | Click **Add Members** |
| Type or paste new member emails | Add emails |
| Select permission               | Select permission     |
| Click **Invite members…**       | Click **Add Members** |

Playlab also adds a one-click invite link path. From **Members**, click **Create Invite Link**, set the permission, and click **Create & Copy Link**. See [Inviting users to your org](/getstarted/Adding%20Members%20to%20your%20Workspace#invite-users-to-your-organization).

### From a workspace view

| Before                                            | Now                                               |
| ------------------------------------------------- | ------------------------------------------------- |
| Go to **Workspace Members** tab | Go to **Members** tab |
| Click **Add Member** | Click **Add Members** |
| Add emails, select permission | Add emails, select permission |
| Click **Invite members…**                         | Click **Add Members**                             |
| **OR** Click **Copy Team Invite**, share the link | **OR** Click **Copy Invite Link**, share the link |

The verbs are slightly more consistent. The flow is otherwise the same. See [Adding members to a workspace](/getstarted/Adding%20Members%20to%20your%20Workspace).

## Setting up and managing a workspace

| Before                  | Now                                                                 |
| ----------------------- | ------------------------------------------------------------------- |
| Go to workspace | Go to **Org** |
| Click **New Workspace** | Click **New Workspace** |
| Name the workspace | Name the workspace, add a description, and set building permissions |
| Create apps             | Add members                                                         |
| Add members | Add existing apps **or** create new ones |
| View activity           | View activity                                                       |

Workspace creation now adds two things: a description field and building permissions toggles. Workspaces also accept existing apps, so you can build a class environment without recreating apps. See [Creating and managing a workspace](/getstarted/Creating%20Your%20Own%20Workspace).
